Payment, invoices and VAT: check before ordering
A practical guide to checking prices, invoice details, VAT, payment instructions and additional project costs before ordering from Bloomcabin.

A greenhouse, pergola or outdoor sauna is usually more than a straightforward goods purchase. The product configuration, delivery location, site conditions and any additional services affect the paperwork and total effort. Treat the quotation, order, invoice and proof of payment as a connected document trail.
This guide explains the details to compare before making payment. It does not replace your specific order documents or tax and legal advice. The document issued for your order, the agreed terms and the requirements applicable where goods or services are supplied always take priority.
Quick answers before ordering
- Is the displayed product price automatically final? Not necessarily. Configuration, accessories, delivery terms, VAT treatment and other agreed items can affect the invoice total.
- Which document matters for payment? Use only the current payment request or invoice clearly assigned to your order.
- Is a company name enough for an invoice without VAT? No. Tax treatment does not depend on the buyer’s name alone.
- Are foundations and installation included automatically? Only where these services are expressly listed as items or clearly described within the agreed scope.
- What should I do if something does not match? Do not pay on the basis of your own assumptions. Ask for the amount, address, product or bank details to be clarified through the official contact channel first.
You can also find process information under How to order and in the Purchasing and delivery section.

Understanding purchasing documents
Several documents may be created during a purchase. They have different purposes and should not be confused:
- Product page or configuration view: This is for guidance. Check which version, options and price elements were actually selected.
- Enquiry or project description: This records customer wishes, the delivery location and special conditions. An enquiry does not yet confirm every requested point.
- Quotation: It sets out the offered scope, price and, where applicable, conditions or a validity period.
- Order confirmation: It records which order was accepted and which configuration was entered.
- Payment request or pro forma invoice: It states the amount due and the payment details to use.
- Invoice: It bills the delivered or agreed scope and contains the tax details relevant to that transaction.
- Correction note or credit note: This may be needed when an issued document is corrected or an amount is adjusted.
- Proof of payment: A bank statement, bank confirmation or card receipt records payment but does not automatically replace the invoice.
Save every version with its date. If a new document is issued after a change, mark the earlier version as superseded rather than deleting it. This keeps the final scope traceable.
What to check before approving payment
A technical and commercial review before transferring money prevents many later queries. Check at least:
- Invoice recipient name and address,
- Delivery address and relevant additions,
- Document number, date and order reference,
- Product model, version, colour and selected options,
- Quantities and separately stated additional items,
- Included scope and expressly excluded work,
- Net amount, tax details and total,
- Currency and payment deadline, where applicable,
- Payee, bank details and payment reference.
Compare changes especially carefully. A call or email requesting a change does not mean that it is technically possible, price-confirmed and included in the order. The current written version is decisive.
Basic rule: the product, document number, total amount and payee must match. If any of these points is unclear, postpone payment until it is resolved.

Matching the invoice to the exact product
Similarly named models can differ in construction, size, equipment or supplied scope. Do not compare only the product category. Match every invoice to the full model name and the variant actually selected.
For a pergola, clarify whether a bioclimatic or classic pergola is intended. The choice between a wall-mounted and freestanding pergola also matters for scope and project planning. The pergola size guide helps you review the planned dimensions.
For saunas, a description such as “outdoor sauna” is not enough either. Compare the specific Elma S outdoor sauna page with the document details. For a barrel sauna, the selected model, such as the HC150 thermowood barrel sauna, must be clearly identifiable.
Payment methods and instructions
PayPal is available, while any other payment methods for an order are shown in the ordering process or the documents issued. Do not assume that every method mentioned on a general page applies to every order, amount or delivery location.
For bank transfers, the stated payment reference is important. It enables matching to the order or invoice. Enter the document number exactly and avoid informal abbreviations that could relate to more than one order.
Never copy bank details from old invoices, previous orders or informal messages. If account details change unexpectedly, verify them through an official communication route you already know. Do not rely solely on contact details in the message announcing the change.
Keep proof of payment showing the amount, date, recipient and reference. If several part-payments are specified, maintain a simple overview:
| Check point | Record |
|---|---|
| Part payment | Amount, date and related invoice |
| Balance | Due date and amount outstanding |
| Reference | Order or invoice number |
| Difference | Written clarification or correction document |

Invoice details requiring particular attention
Do not read an invoice only as far as the total. The header, item description and tax section must form a coherent whole. Important details include the issuer’s identity, invoice address, issue date, unique number, supplied item or service, and stated amounts.
For a business order, provide the necessary company details before the document is issued. Whether tax identification details are needed depends on the transaction. A later change may require a formal correction rather than a simple wording update.
Also check whether accessories appear as separate items or form part of a package. Product images, examples of use and editorial content do not automatically define the invoiced scope. Guides to polycarbonate in greenhouses or an overview of orangeries and greenhouse design can support selection, but they do not replace order-specific itemisation.
VAT and international tax terminology
In Germany, Umsatzsteuer is the formal term for tax, while Mehrwertsteuer is commonly used. The abbreviation VAT means “Value Added Tax” and may appear on English-language or cross-border documents. These terms can refer to the same tax system, but they do not by themselves determine the treatment of an order.
Relevant factors include the seller, invoice recipient, delivery location, nature of the transaction and applicable tax conditions. A company name, different delivery address or simply stating an identification number does not automatically result in an invoice without VAT. Required information and conditions must be checked.
Cross-border deliveries to Malta may follow different VAT procedures from domestic deliveries. The guide to buying a greenhouse with delivery to Malta shows why the delivery country and invoicing position should be established early. Bloomcabin delivers throughout Malta and its islands, with free delivery on most products; check product-specific delivery terms and the tax treatment for each order.
The US term “sales tax” is not an alternative Maltese invoice description for VAT. “Use tax” also belongs to a different tax system. If an interface shows only “tax”, check the final invoice instead of drawing tax conclusions from that label.
Order changes, cancellations, credit notes and refunds
Changes can affect construction, price, tax amount, delivery planning and components already prepared. Send change requests as early and clearly as possible, stating the order number. Describe both the current and requested condition.
A change becomes part of the order only once it has been confirmed. Do not transfer a recalculated amount on your own initiative. Wait for an updated payment instruction or corresponding document.
Cancellations, discounts or repayments may require correction or credit-note documents. Keep them with the original invoice. The specific order determines the applicable terms; general information on protection and performance commitments is available under Guarantee.

Budget items outside the product invoice
The product invoice amount is not automatically the same as the total project budget. Depending on the project, further costs may be charged by other companies or authorities. Typical points to check include:
- Surveying, planning and site preparation,
- Groundworks, foundations or a prepared base,
- Unloading, temporary storage and on-site transport,
- Installation services, unless expressly included,
- Electrical, water or drainage work,
- Suitable access for delivery and installation,
- Any required inspections, notifications or permissions,
- Later cleaning, maintenance and replacement of wear parts.
For pergolas, the pergola foundation guide helps treat site preparation as a separate cost category. Whether permission or another procedure is required depends on the location and applicable local rules. For Malta, ask a perit to assess the Planning Authority classification, site designation, footprint, height, enclosure and any existing permit conditions. Planning permission for a greenhouse or pergola in Malta is a useful starting point; consult the Planning Authority and your perit about the individual project.
Comfort and intended use also influence the total budget. The article Is a bioclimatic pergola worthwhile? helps compare construction principles. For greenhouses, topics such as temperature and humidity or growing lettuce in a greenhouse show which later equipment and operating methods may matter.
Documents for acceptance, installation and maintenance
After payment, commercial documents remain important. Have the order number, delivery documents and agreed recipient address ready when receiving goods. Check whether delivered packages can be matched to the delivery note and document visible discrepancies following the procedure stated for delivery.
For installation, it should be clear which version was ordered and which site work must be prepared by the customer. Invoices are not installation instructions. Always use the documents for the exact model.
After assembly, archive the invoice with the product name, serial or identification details where available, installation documents and maintenance records. Guidance on caring for an aluminium greenhouse helps plan and document future work. Further product areas are available under Greenhouses and conservatories and Sauna.

Frequently asked questions
Is the price on a product page my final invoice amount?
Not necessarily. A product page may show a starting price or a particular configuration. Selected options, delivery conditions, tax treatment and expressly agreed additional services can change the total. Check the current order or invoice document.
Why does my document say “Tax” rather than “VAT”?
“Tax” may be a general label from a multilingual interface. For commercial checking, the final invoice is decisive. If the tax type, amount or basis of calculation is unclear, ask for the document to be explained before payment.
Can Bloomcabin remove tax if I provide a company name?
A company name alone is not enough. Tax treatment depends on the particular transaction and its applicable conditions. Provide all requested company information early and wait for the review.
Can I request an invoice after payment?
If a required invoice document is missing, contact Bloomcabin with the payment date, amount and order reference. Provide the invoice details needed in full. Whether an amendment is possible or a correction document is required depends on the case.
What if my invoice or delivery address is wrong?
Report the discrepancy immediately and distinguish clearly between the invoice and delivery address. Correcting an invoice does not automatically change a delivery already planned. Equally, changing the delivery address is not automatically an invoice amendment.
What should I do if proof of payment and invoice show different amounts?
Compare the document number, currency, part payments, credit notes and possible bank charges. Then send the proof of payment with the relevant invoice for clarification. Do not make another payment or offset without clear confirmation.
Does payment mean every requested change has been accepted?
No. A payment does not automatically confirm a separately submitted change request. What matters is the scope confirmed in writing and assigned to the payment. Check the current product and item description first.
Are installation and site works included in the product invoice?
Only if they are expressly listed or clearly described as part of the agreed scope. Foundations, groundworks, connections, permissions and access arrangements should be treated as separate checks. Local requirements must be clarified for the actual site.
Should I keep the invoice after installation?
Yes. It remains an important document linking you to the product and may matter for maintenance, queries, corrections or ownership records. Keep payment evidence, credit notes, installation documents and recorded maintenance work too.
Where should I start if I still have a payment question?
First gather the order number, relevant document, amount and a short description of the discrepancy. Then contact Bloomcabin through the official channel. General impressions of product selection are available in greenhouse reviews; a specific payment question must, however, be checked against your order.
Final check before payment
Before authorising payment, carry out one final complete comparison. Do the invoice recipient, delivery location, product model, variant, options, scope, tax details, total and currency match? Is this the latest document? Have the payee and bank details been verified? Has every requested change been confirmed in writing?
Also check which project costs sit outside the product invoice and who is responsible for them. Separate the product purchase, site preparation, installation and authority or technical requirements in your budget. This makes clear which amount is paid to whom and for what.
If even one important point remains open, resolve it before payment. A brief documented query is more efficient than later correcting an address, order, tax detail or payment allocation. Company information is available under About us.
