Payments, invoices and taxes: check before ordering

A practical guide to reviewing prices, invoice details, taxes, payment instructions and additional project costs before placing a Bloomcabin order.

A greenhouse, pergola or outdoor sauna is usually more than a simple goods purchase. Product configuration, delivery location, site conditions and any additional services can affect the paperwork and the overall project cost. Treat the quotation, order, invoice and proof of payment as one connected record.

This guide explains the details to compare before making a payment. It does not replace your order documents or tax and legal advice. The document issued for your order, the agreed terms and the requirements applying where the goods or services are delivered always take priority.

Quick answers before ordering

  • Is the displayed product price automatically the final amount? Not necessarily. Configuration, accessories, delivery arrangements, tax treatment and other agreed items may affect the invoiced amount.
  • Which document should I use for payment? Use only the current payment request or invoice that is clearly assigned to your order.
  • Is a company name enough to receive an invoice without tax? No. Tax treatment is not determined by the buyer’s name alone.
  • Are foundations and installation included automatically? Only where they are expressly listed as line items or clearly described as part of the agreed scope.
  • What should I do if something does not match? Do not pay on the basis of your own assumptions. Ask for the amount, address, product or bank details to be clarified through the official contact channel first.

You can also find an overview of the process under How to order and in Purchasing and delivery.

Understanding the documents in your purchasing process

Several documents may be created during a purchase. They serve different purposes and should not be confused:

  1. Product page or configuration view: This is for orientation. Check which version, options and price components have actually been selected.
  2. Enquiry or project description: This records customer requirements, the delivery location and particular conditions. An enquiry does not confirm every requested item.
  3. Quotation: This sets out the offered scope, price and, where applicable, conditions or a validity period.
  4. Order confirmation: This records which order has been accepted and which configuration has been entered.
  5. Payment request or pro forma invoice: This states the amount to pay and the payment details to use.
  6. Invoice: This bills the delivered or agreed scope and includes the tax information relevant to that transaction.
  7. Correction or credit note: This may be needed where an issued document must be corrected or an amount adjusted.
  8. Proof of payment: A bank statement, bank confirmation or card receipt records payment, but does not automatically replace an invoice.

Save every version with its date. If a change leads to a new document, mark the older version as superseded instead of deleting it. This keeps the route to the final scope clear.

What to check before authorising payment

A technical and commercial review before you transfer funds can prevent later questions. Check at least:

  • the invoice recipient’s name and address,
  • the delivery address, including relevant additional details,
  • the document number, date and order reference,
  • the product model, version, colour and selected options,
  • quantities and separately listed additional items,
  • what is supplied and work expressly excluded,
  • the net amount, tax details and total,
  • the currency and any payment deadline,
  • the payee, account details and payment reference.

Review changes particularly carefully. A phone call or email requesting a change does not mean that it is technically possible, price-confirmed and added to the order. The current written version is decisive.

Basic rule: the product, document number, total amount and payee must correspond. If any of these points is unclear, hold payment until it has been resolved.

Match the invoice to the exact product

Models with similar names can differ in construction, size, equipment or supplied scope. Do not compare only the product family. Match each invoice to the full model name and the version actually selected.

For a pergola, establish whether a bioclimatic or classic pergola is planned. The choice between a wall-mounted and freestanding pergola also matters for project scope and planning. Our pergola size guide can help you review the intended dimensions.

For saunas, a general label such as “outdoor sauna” is not enough either. Compare the specific Elma S outdoor sauna page with the document details. For a barrel sauna, the selected model must likewise be unmistakable, such as the HC150 thermowood barrel sauna.

Payment methods and payment instructions

PayPal is available, along with any other payment methods offered for the specific order. Other methods may vary by transaction, amount or delivery location, so do not assume that every method mentioned on a general page will apply.

For a bank transfer, the stated payment reference is important because it links your payment to the order or invoice. Enter the document number exactly and avoid informal descriptions that could apply to more than one order.

Never copy bank details from an old invoice, earlier order or informal message. If account details change unexpectedly, verify them through an established official channel. Do not rely only on contact details included in the message announcing the change.

After payment, retain proof showing the amount, date, recipient and reference. If the documents issued for your order require more than one payment, keep a simple record:

Check point Record
Part payment Amount, date and related invoice
Balance Due date and amount outstanding
Reference Order or invoice number
Difference Written clarification or correction document

Invoice details that deserve close attention

Do not read an invoice only as far as the total. Its header, line descriptions and tax section should make sense together. Important details include the issuer’s identity, billing address, issue date, unique number, supplied goods or services and listed amounts.

For a business order, provide the required company details before the invoice is issued. Whether tax identification details are required depends on the transaction. A later change may require a formal correction rather than a simple text edit.

Also check whether accessories appear as separate items or form part of a package. Product images, use examples and editorial content do not automatically define the invoiced scope. Articles about greenhouse polycarbonate or orangeries and greenhouse design can support your choice, but do not replace order-specific line items.

GST/HST, PST and international tax terms

In Canada, GST/HST and, depending on the destination, provincial sales taxes may apply. The term sales tax is often used broadly. The abbreviation VAT means “Value Added Tax” and may appear on English-language or cross-border documents. Terminology alone does not establish how a particular order will be treated.

Relevant factors can include the seller, invoice recipient, delivery destination, transaction type and applicable tax conditions. A company name, a different delivery address or an identification number does not automatically result in an invoice without tax. Required details must be reviewed and the applicable conditions met.

Cross-border delivery may follow a different process from a domestic Canadian purchase. Imported goods may be subject to duties and GST/PST/HST, depending on factors such as value, origin and the destination province. Our greenhouse delivery information explains why the delivery country and billing details should be settled early. Confirm the tax and import treatment for the specific order before paying.

Do not assume that “sales tax,” “use tax,” GST/HST, PST and VAT are interchangeable labels. If an interface shows only “tax,” use the final invoice and ask for clarification rather than inferring the treatment from that generic wording.

Order changes, cancellations, credits and refunds

Changes can affect construction, price, tax amount, delivery planning and components already prepared. Send change requests as early and clearly as possible, quoting the order number and describing both the existing and requested position.

A change becomes part of the order only when it has been confirmed. Do not send a recalculated amount on your own initiative. Wait for an updated payment instruction or other appropriate document.

Cancellations, price reductions or repayments may require a correction or credit document. Keep these with the original invoice. Review the terms for the specific order, and check any questions about legal rights for the delivery destination; general information about Bloomcabin’s commercial promises is available under Warranty.

Budget items beyond the product invoice

The product invoice is not automatically your complete project budget. Depending on the project, other businesses or authorities may charge additional costs. Typical areas to consider include:

  • surveying, planning and site preparation,
  • groundworks, foundations or a prepared base,
  • unloading, temporary storage and on-site transport,
  • installation work, unless expressly included,
  • electrical, water or drainage work,
  • suitable access for delivery and installation,
  • any inspections, notifications or permits required,
  • later cleaning, maintenance and replacement of wearing parts.

For pergolas, the pergola foundation guide helps you treat site preparation as its own budget category. Whether a permit or another approval is needed depends on the property, municipality and rules adopted in its province or territory. Ask the municipal permit office about zoning, structural design, services, setbacks, height, lot coverage and other project-specific requirements. Permit guidance for greenhouses and pergolas offers a useful starting point, but the responsible local authority must be consulted for the individual project.

Comfort and intended use can also affect the overall budget. The article Is a bioclimatic pergola worth it? can help compare construction principles. For greenhouses, subjects such as temperature and humidity or growing lettuce in a greenhouse show which later equipment and operating choices may matter.

Records for receiving, installation and maintenance

Commercial documents remain useful after payment. When receiving goods, have the order number, delivery documents and agreed recipient address available. Check whether the packages can be matched to the delivery document, and record visible discrepancies using the procedure stated for the delivery.

For installation, it should be clear which version was ordered and which site work must be prepared by the customer. Invoices are not installation instructions. Always use the documents for the specific model.

After assembly, archive the invoice with the product name, serial or identification details where available, installation documents and maintenance records. Guidance on maintaining an aluminium greenhouse can help make future work easier to document. Explore further product areas under Greenhouses and conservatories and Saunas.

Frequently asked questions

Is the price on a product page my final invoice total?

Not always. A product page may show a starting price or a particular configuration. Selected options, delivery arrangements, tax treatment and expressly agreed extras can change the total. Check the current order or invoice document.

Why does my document say “tax” rather than GST/HST or VAT?

“Tax” may be a general label used by a multilingual interface. For commercial checking, the final invoice is the important document. If the tax type, amount or basis of calculation is unclear, ask for an explanation before paying.

Can Bloomcabin remove tax if I provide a company name?

A company name alone is not enough. Tax treatment depends on the specific transaction and the conditions that apply to it. Send requested business information early and wait for it to be reviewed.

Can I request an invoice after payment?

If a required invoice document is missing, contact Bloomcabin with the payment date, amount and order reference. Provide the billing details you need in full. Whether a change is possible or a correction document is required depends on the circumstances.

What if the billing or delivery address is incorrect?

Report the discrepancy immediately and distinguish clearly between the billing and delivery addresses. Correcting an invoice does not automatically change a planned delivery. Likewise, changing a delivery address does not automatically amend an invoice.

What should I do if the proof of payment and invoice show different amounts?

Compare the document number, currency, part payments, credits and possible bank charges. Then send the proof of payment with the related invoice for clarification. Do not make another payment or offset without clear confirmation.

Does payment mean every requested change has been accepted?

No. Payment does not automatically confirm a change requested separately. The relevant scope is the one confirmed in writing and assigned to the payment. Check the current product and line-item description before paying.

Are installation and site work included in the product invoice?

Only if they are expressly listed or clearly described as part of the agreed scope. Foundations, groundworks, connections, permits and access measures should be treated as separate checks. Confirm local requirements for the site.

Should I keep the invoice after installation?

Yes. It remains an important document linking the purchase to the product and may be useful for maintenance, questions, corrections or ownership records. Keep payment evidence, credit notes, installation documents and recorded maintenance work as well.

Where should I start if I still have a payment question?

First gather the order number, relevant document, amount and a short description of the issue. Then contact Bloomcabin through an official channel. General product-selection impressions can be found in greenhouse reviews; a specific payment question must be checked against your order.

Final check before payment

Before authorising payment, complete one final comparison. Do the invoice recipient, delivery location, product model, version, options, scope, tax details, total and currency match? Is this the latest document? Have the payee and bank details been verified? Has every requested change been confirmed in writing?

Also identify project costs outside the product invoice and who is responsible for them. Separate the product purchase, site preparation, installation and authority or technical requirements in your budget. This makes clear what is being paid, to whom and for which work.

If even one important point is unresolved, clarify it before paying. A short documented enquiry is more efficient than a later correction to an address, order, tax entry or payment allocation. Learn more about the company under About us.
